A wonderful opportunity has arisen to join our team as a Human Resources Administrative Assistant. You will support The Human Resource Director in providing variety of personnel-related tasks to all our international staff.  As a Human Resource Administrative Assistant you will deal with all HR administration including contracts, inputting data on to the HR system, starters/leavers paperwork and ER documentation. You will also be the first point of contact for employees regarding all HR queries. Essential Duties and Responsibilities:

  • Maintain employee records (soft and hard copies)
  • Updates HR databases (e.g. new hires, separations, vacation and sick leaves)
  • Keeps employee records up-to-date by processing employee status changes in a timely manner
  • Maintains employee files in compliance with applicable legal requirements.
  • Conducts benefit orientations and other benefit training, as needed.
  • Processes enrolments, changes, and terminations of participants in all benefit plans and programs.
  • Assist in payroll preparation by providing relevant data, like absences, bonus and leaves
  • Prepare paperwork for HR policies and procedures
  • Process employees’ requests and provide relevant information
  • Manage the day to day of the Human Resources Information System and conduct necessary  employee changes
  • Coordinate HR projects, meetings and training seminars
  • Prepare reports and presentations for internal communications
  • Provide orientations for new employees by sharing on boarding packages and explaining company policies
  • Manage the international Recruitment process consisting of placing relevant adverts, updating company career site, collecting and managing applicant resumes, arranging interviews
  • Support and assist in the development and communication of HR policies and procedures manual
  • Maintains employee files and the HR filing system and assists with the day-to-day efficient operation of the HR office. Assists with the tracking of company measurements  that support the accomplishment of the company's strategic goals.
  • Prepares and maintains reports that are necessary to carry out the functions of the Human Resources department. Prepares periodic reports for management, as necessary or requested.
  • Participates in administrative staff meetings and attends other meetings and seminars as necessary and to represent the department.
  • Participates in planning and implementing various employee relations and employee satisfaction initiatives.
  • Assists company managers will all Human Resource related queries



Degree in Human Resources or relevant field


  • Member of the Chartered Institute of Personnel Development or working toward membership
  • Hand on experience with HR software, like HRIS or HRMS
  • At least 12 months’ Proven work experience as an HR administrative assistant
  • PC literacy and experience with MS Office applications
  • Knowledge of UK employment law
  • Excellent organizational and time-management skills
  • Teamwork skills

  • Be patient, tactful, diplomatic and approachable
  • Be able to stay calm in difficult situations
  • Have good commercial awareness
  • Have good spoken and written communication skills
  • Be confident about gathering facts and statistics
